15 — Troubleshooting & error catalog

Every common message you might see, in plain language, with the exact fix. Find your message in the left column.

Login & startup

Message / symptom What it means Fix
Invalid username or password Typed wrong / Caps Lock on. Re-type. Default is admin / admin123.
Login button does nothing No Branch/Store selected. Pick a store from the list, then Login.
Startup Error: … box Setup problem on launch. Note the message; restart the PC; if it repeats, restore a backup (14).
App opens then closes instantly Corrupt data file or missing permission. Run as the same Windows user that installed it; restore last backup.
Window too big / edges cut off Windows display scaling. Set display scale to 100–125%, or use a 1920×1080 screen.

Selling (POS)

Message / symptom What it means Fix
Cart is empty! No items in the cart. Add at least one item before Pay.
Product not found Barcode not in the system. Add the product (05) or search by name.
⚠️ This item is expired Batch past expiry. Sell only if policy allows; else pick fresh stock (07).
Serial/IMEI box appears Warranty item. Scan/type the unit's serial (08).
Wrong change shown Tendered amount mistyped. Re-type cash received before Complete.
Receipt didn't print Printer offline / not default. Check the printer is on and set as Windows default.

Inventory

Message / symptom What it means Fix
Product photo won't show Image path moved/deleted. Re-add the photo in Edit product.
Import failed Wrong columns in the Excel file. Use the supplied template; don't rename columns.
Stock count looks wrong Sale/return not saved, or wrong store. Check you're on the right Branch/Store; re-count via Stock.

Reports & export

Message / symptom What it means Fix
Report/export empty No data in the date range. Widen the dates / make a sale first.
Access denied saving export Folder is read-only. Save to Documents.
Accounting app rejects file Wrong format. Match format to app (Tally XML / QuickBooks IIF / Zoho CSV).

General

Symptom Fix
App feels slow Close other heavy programs; ensure 4 GB+ RAM (16); use an SSD.
Lost data after a crash Restore the latest backup (14).
Forgot admin password Another administrator can reset it in Users & roles (13).
